Confirm the platform you're using (e.g. Zoom). Confirm mobile bidding company, other vendor partners, assign roles and responsibilities, go over rough timeline, fundraising strategy, mission moment, paddle raiser live auction, etc.
Two weeks prior to your event.
Get a look at each speaker's camera set up. Make sure everyone is well-lit, sounds good, and their backgrounds looks good.
Your speakers should practice muting and un-muting their microphones, and sharing and unsharing their cameras.
Your Content Manager should practice sharing the screen, running powerpoint, playing video and pushing to Facebook Live.
This practice session will help put everyone's nerves at ease.
The week of the event.
Get everyone on a Zoom call together to go over the script, timeline, role assignments, etc. You want to make sure everyone is on the same page.
The day before your event.
Get everyone on your team together to a full run-through of the program. This is your opportunity to catch any oversights and make sure everyone is feeling prepared and confident.
Create a Test Facebook page so you can practice on Facebook Live without anyone watching.
